Tech Gremlins Strangle Our Meetings
Technical difficulties consistently disrupt meeting flow, frustrating participants and wasting valuable time.
Here's what to do when tech issues hijack your meeting:
Acknowledge the Issue Publicly
Immediately address the problem to show empathy and take control. Say something like, "Okay everyone, I see we're having some technical difficulties. Let's take a moment to address this so we can get back on track."
Isolate the Problem
Determine if the issue is widespread or isolated to a few participants. Ask: "Is anyone else experiencing this issue? Please raise your hand [virtually or physically]."
Basic Troubleshooting
Guide participants through basic steps. For audio/video issues: "First, please check that your microphone and camera are properly connected and unmuted/unblocked. Can everyone double-check those settings? If you are still having trouble, try disconnecting and reconnecting to the meeting." For screen sharing issues: "If you are having issues sharing, please ensure you have granted permission to the application in your system preferences (especially on Macs). Also, try closing other applications that might be using your screen."
Delegate Tech Support (if available)
If you have someone who can provide technical assistance, assign them to help individuals privately. Say: "[Name of tech support person], could you please reach out to [participant with issue] in a private chat to help troubleshoot?"
Offer Alternatives
If the issue persists, provide workarounds. For example, if screen sharing fails: "Okay, [presenter], instead of screen sharing, could you email the document to everyone, and we can follow along that way?" For audio issues: "If audio is a problem, please mute and use the chat function to communicate your questions or comments."
Pause and Adjust
If the technical issues are widespread and severely impacting the meeting, don't push through. Say: "It looks like we're dealing with some significant technical challenges. Let's pause the meeting for [5-10 minutes] to allow everyone to troubleshoot. I will provide updates in the chat."
Reschedule if Necessary
If the problems are insurmountable, be prepared to reschedule. Say: "Unfortunately, it seems we're unable to resolve these technical issues quickly. To respect everyone's time, I'm going to suggest we postpone this meeting to [date/time]. I'll send out a new invite shortly. We will ensure the tech issues are resolved before then."
